Which is better for work: ChatGPT, Claude, or Gemini?
There is no single best AI tool for work. ChatGPT, Claude, and Gemini can all write emails, summarize documents, and compare quotes. The best choice is usually the one your company already approves and pays for, tested on a real task your team does every week. If your company runs on Gmail, Docs, and Sheets, start with the Gemini features built into those apps.
What is the difference between an AI app and an AI model?
The app is what you open, like ChatGPT, Claude, or Gemini. The model is the engine inside that reads your request and writes the answer. Each app offers several models, from fast ones for quick jobs to stronger ones for harder problems, and some let you choose how much thinking goes into an answer.
Which AI model should I use for emails and short summaries?
Use a fast option, such as ChatGPT Instant, Claude Haiku, or Gemini Flash. Emails, short summaries, and meeting-note checklists are easy to check, so speed matters most. Fast options also use less of your plan.
Which AI model is best for comparing supplier quotes or checking invoices?
Start with a standard option, such as ChatGPT Medium, Claude Sonnet, or Gemini Pro. Move to a stronger option, like ChatGPT High or Claude Opus, when documents disagree or a decision involves several costs and deadlines. Ask the AI to show where it found each number, and have a person check prices and totals before anyone acts on them.
Why do some AI tasks use more of my plan than others?
AI measures work in small units called tokens, the pieces of information it reads and writes. Long documents, long conversations, and harder questions use more tokens, so they use more of your plan. Rewriting a short email costs very little, while comparing an 80-page catalog with several quotes costs much more, even though both are one request.
How do I check how much AI usage I have left?
In Claude, open Settings, then Usage. In Gemini on a supported personal account, open Settings, then Usage limits, then Usage. In ChatGPT, check the model picker or the notice that appears when you reach a limit, which shows when that model is available again.
What should I do when I hit an AI usage limit?
Check when your allowance resets, or switch to another model you have access to. To make your plan last, use fast options for simple jobs, share only the relevant part of a document, ask for shorter answers, and start a new conversation for each unrelated task.
Can ChatGPT, Claude, or Gemini see my ERP or order system?
A chat app works with the information you give it in the conversation. To answer an order-status question, paste in the current order and tracking details and the AI will draft the reply. If your team handles these questions all day, a connected workflow can look up orders in your ERP and carrier systems and prepare replies for a person to approve.
Is it safe to upload confidential company files to an AI tool?
Use only company-approved AI accounts for confidential files, and check your account's data-retention settings first. Some advanced models, like Claude Fable and Mythos, normally require a data-retention period of at least 30 days. When testing a new tool, use sample or approved information.
Do sales and purchasing teams need Codex or Claude Code?
No. Codex and Claude Code are built for people who write software. Sales, purchasing, customer service, and operations teams get the most from the regular ChatGPT, Claude, or Gemini apps, or from AI features inside the tools they already use.
How do I test whether an AI tool works for my team?
Pick one task your team does every week and gather a few past examples where you already know the right answer. Try an easy example with a fast option, then a tricky one with missing or conflicting details to see whether the AI flags the problem instead of guessing. Move to a stronger option only if the simpler one struggles, and note how long checking each answer takes.
